Cancellation Policy

At Southside Physio we value the time and dedication of both our clients and our professional therapists. In order to maintain the highest level of service and accommodate the needs of all our valued clients, we have implemented the following cancellation policy.

Appointment Cancellation

  1. We kindly request that clients provide at least 24 hours’ notice if they need to cancel or reschedule an appointment. This allows us sufficient time to offer the appointment slot to other clients who may be in need of our services.
  2. Clients can cancel or reschedule their appointments by contacting our clinic directly through the provided contact information.

Late Cancellation

  1. In the event that a client cancels their appointment within 24 hours of the scheduled appointment time, they may be subject to a late cancellation fee.
  2. The late cancellation fee will be equivalent to the full fee of the scheduled appointment.

No-Show Policy

  1. A “no-show” is defined as a client who fails to attend their scheduled appointment without providing any prior notice or cancels the appointment after the scheduled appointment time.
  2. In the case of a no-show, the client may be charged the full fee of the missed appointment.

Extenuating Circumstances

We understand that unforeseen circumstances can arise, and we strive to be fair and accommodating. If you encounter extenuating circumstances that prevent you from giving the required notice, we encourage you to contact us as soon as possible to discuss your situation.

Fee Payment

  1. Clients who incur late cancellation or no-show fees will be notified of the charge, and payment will be required within 14 days from the date of the missed appointment.
  2. Accepted payment methods include cash, credit/debit card or electronic bank transfer.

Exceptional Circumstances

In exceptional circumstances, such as sudden illness or emergencies, we may waive the late cancellation or no-show fees. This will be evaluated on a case-by-case basis, and clients must provide appropriate documentation or evidence supporting their situation.

Rescheduling

  1. We encourage clients to reschedule their appointments promptly if they need to cancel within the 24-hour notice period. This allows us to accommodate their needs and avoids incurring any late cancellation fees.
  2. We will make every effort to find a suitable alternative appointment time for rescheduling, subject to availability.

By booking an appointment with Southside Physio, clients acknowledge that they have read, understood, and agree to comply with this cancellation policy. We greatly appreciate your cooperation and understanding in helping us maintain a smooth and efficient appointment schedule.

Mobile Therapy Cancellation Policy

We understand that there may be times when you are unable to attend a scheduled appointment. To ensure that we can accommodate all our clients effectively, we have implemented the following cancellation policy:

  1. 24-Hour Notice Requirement:
    • Clients must provide at least 24 hours’ notice on the business day prior to their scheduled appointment if they need to cancel or reschedule.
  1. Late Cancellation Fee:
    • If a cancellation or rescheduling request is made within 24 hours of the business day prior to the appointment, 100% of the scheduled appointment fee is payable. This includes the time reserved for travel, clinical notes, and care coordination. Kilometre costs will be added if travel is conducted.
  1. Failure to Attend or Late Cancellations:
    • Failure to attend or late cancellation of two consecutive scheduled appointments within a three-month period will result in a “scheduling hold” being placed on your account. This means you will not be able to schedule further appointments until the hold is resolved.
  1. Waiver of Cancellation Fee:
    • If we are able to fill your appointment slot with another client, the cancellation fee will be waived.
